The Trilogy Troubadours Membership Coordinator
Oversees all matters related to recruiting and educating new members to the club.
Recruiting New Members
As new members are needed the Membership Coordinator will lead the effort to find and qualify new members
Once a member joins the Troubadours the Coordinator will provide web site access including Login ID and password
The coordinator will provide introductions to the club as to how it works and will introduce existing members to any new member
Attendance
The coordinator will be responsible for recording attendance at rehearsals and other club related activities requiring attendance information
The Trilogy Troubadours Club President
Oversees the club's overall management operations and strategic direction in compliance with the club mission and by-laws. Fosters a sound environment to ensure effective management and engagement among club members.
Key Responsibilities
Leadership and Management
Presides over club meetings and events.
Guides the executive committee and club members in decision-making.
Represents the club in community events and meetings.
Ensures the club is in compliance with the club By-laws.
Communication
Facilitates communication between members and external stakeholders.
Prepares and distributes meeting agendas.
Helps promote club activities through newsletters and social media.
Actively responds to situations and/or conditions to ensure the health and safety of members. (e.g. Covid and other seasonal viruses).
Planning and Organization
Involved with the development of club goals and initiatives.
Oversees the final implementation of goals and initiatives.
Membership Engagement
Supports recruitment of new members and fosters a welcoming environment.
Encourages member participation and feedback.
Addresses member concerns and suggestions.
Reporting
Communicates to members on club activities and progress.
Provides information to the governing body or parent organization (Blue Star or Trilogy BOD) as required.
This role requires strong leadership, communication, and organizational skills, along with a commitment to the club's mission, while fostering a welcoming and enjoyable club environment.
The Trilogy Troubadours Club Vice President
This position supports the club President in the overall management and strategic direction of the organization. This role involves assisting in operations, leading in the President's absence, and ensuring the group's mission and goals are achieved.
Key Responsibilities
Assist the President with their duties and responsibilities and act as a key liaison with the board and membership.
Take on the Presidents club duties and responsibilities when they are unable to so.
Help oversee the clubs structure and ensure its operating effectively and within its mission.
Work with the President and other board members to develop and track club communications, operations and financials
Serve as a club representative as requested
This role requires good organizational and communication skills, familiarity with financial principles, ability to work effectively as part of a team and commitment to the clubs mission and values.
The Trilogy Troubadours Club Secretary
Oversees the club's record keeping and communications from the club to members, patrons, and Trilogy Lifestyle Team.
Record Keeping
Take minutes at executive team meetings
Publish minutes on web site
Maintain historical records of club
Maintain Web Site
Keep copy on Troubadours web site current and accurate
Add and delete content as needed
Communicate
Gather information from team leadership and communicate via email to the membership
Communicate club performance needs to the Trilogy Lifestyle Team.
Create posters and ticket design for performances
Print tickets and coordinate ticket sales with Trilogy Lifestyle Team
Publish electronig performance information on media sites
Send branded email blasts to patron data base
The job requires reasonable computer skills.
The Trilogy Troubadours Club Treasurer
Oversees the club’s financial management and fiscal health. This position requires a commitment to the group’s mission, active participation with the board of directors and precise attention to detail.
Financial Oversight
Manage the club’s bank accounts and monitor cash flow.
Ensure all funds are collected, deposited and tracked accurately.
Reconcile bank statements and maintain organized financial records.
Pay all bills incurred by the club ensuring full and proper documentation has been received.
Budgeting and Financial Planning
Assist and advise the board, the clubs financial status for budgeting and planned purchases.
Financial Reporting
Present financial status to the board
Submit copies of monthly bank statements to Say Patel at Blue Star.
Prepare and submit annual financial report to Say Patel at Blue Star.
Record Keeping
Accurately maintain the clubs check book and documentation of all reimbursements and deposits.
Ensure proper financial procedures and controls are in place.
